Your business needs AI. Not another data risk.

AI helps teams work faster. Before anyone pastes company information into an AI tool, they should know what they're sharing, which tool they're using, and what your business allows.

Today, AI tools can summarise documents, draft reports, analyse figures and clear routine work in minutes. The real question isn't whether to use AI. It's how to use it sensibly when business information is involved.

Why it matters

Under deadline pressure, it's tempting to paste a whole email thread, upload a spreadsheet or drop in a customer contract, because that's the fastest way to get an answer. Pause for a moment first. Some of that information may be confidential, commercially sensitive, personal, or covered by a policy or agreement.

Convenience should never replace a clear decision about what is appropriate to share.

Five questions to ask before using AI with business information

1

What information am I about to share?

Check whether the material contains customer details, employee information, financial records, passwords, contracts or internal plans. If the job can be done with anonymised, summarised or made-up data, use that instead.

2

Is this tool approved for this kind of work?

Different AI services, plans and settings handle data differently. A free personal account and a business plan from the same provider can have very different terms. Follow your company's guidance, and don't assume every tool behaves the same way.

3

Who can see it, and how long is it kept?

Look at the provider's privacy settings, data-retention options, access controls and contract terms. If you're unsure, ask whoever looks after IT, security or data protection before you share.

4

Is the answer safe to rely on?

AI can produce wrong, incomplete or misleading results. Check figures, references and recommendations — especially anything that affects customers, money, staff or a business decision. A person should stay accountable for important outcomes.

5

Would a tailored solution fit better?

If a process regularly needs sensitive information, a general-purpose chat may not be the right long-term home for it. A purpose-built solution can have proper access controls, data handling, hosting choices and clear limits on what it connects to.

What UAE rules expect

If your business operates in the UAE, data you share with an AI tool is still subject to the same rules as any other use of that data. Good places to start:

  • The UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) sets out how personal data — of customers and staff alike — may be collected, used and shared.
  • Free zones such as DIFC and ADGM have their own data-protection rules. If your company is licensed there, check which framework applies to you.
  • The UAE Charter for the Development and Use of AI puts safety, privacy, transparency and human oversight at the centre of responsible AI use.

Custom AI should start with the business need

A tailored solution isn't automatically secure just because it's custom-built. Whether it suits you depends on its architecture, hosting, permissions, integrations, provider terms, testing and day-to-day management.

A planned solution, though, can be designed around one specific task instead of asking employees to improvise every time. For example: generating a report from approved data sources, letting staff search internal documents within set permissions, or automating a repeat process with review steps built in.

Start with four questions: What task are we improving? What data does it need? Who should see the result? What should it never do without approval?

How TBS Group can help

TBS Group helps businesses build custom software, AI-powered workflows, automation and system integration around their real requirements. We start by understanding the business process, the information involved and the controls the solution needs, and only then talk about technology.

If your team has an idea for AI, such as analysing business documents, preparing management reports or cutting repetitive work, we'll go through the requirements with you and recommend what kind of solution makes sense.

Your business. Your requirements. A solution designed around the way you work.

What's one task you'd like AI to handle?
